- Description: HighLevel automation explained in plain words, plus the 5 workflows agencies build first: speed-to-lead, missed-call text-back, appointment reminders, review requests and database reactivation.

GoHighLevel automation (GHL for short) can handle almost anything an agency touches, which is exactly why new users stall. You open the workflow builder, see dozens of triggers and actions and don't know where to start. This guide skips the tour. It explains how HighLevel automation works in plain words, then walks through five automation examples nearly every agency builds first, because each one pays for itself with the first client.

## TLDR

- Every HighLevel workflow is a trigger (what starts it) plus actions (what happens next), with waits and if/else branches in between.
- Build these five first: speed-to-lead, missed-call text-back, appointment reminders with no-show recovery, review requests and database reactivation.
- Save them in a snapshot so every new client sub-account starts with the same proven automations.
- The AI Employee add-on (Conversation AI, Voice AI and more) sits on top of these workflows. It doesn't replace them.
- Most broken automations come down to two things: unregistered SMS and poor email deliverability.

## What Can GoHighLevel Automation Do, in Plain Words?

Think of it as workflow automation built into your CRM. The same contact record, calendar, sales pipeline and funnel data feed every workflow, so you don't need Zapier to connect five tools. To create a workflow, open **Automation > Workflows** inside a sub-account and start from scratch or from a template. Every workflow is made of triggers and actions:

- **Trigger:** the event that starts the workflow. Examples from HighLevel's [official list of workflow triggers](https://help.gohighlevel.com/support/solutions/articles/155000002292-a-list-of-workflow-triggers?fp%5Fref=details) include Form Submitted, Customer Replied, Customer Booked Appointment, Appointment Status, Contact Tag, Pipeline Stage Changed and Inbound Webhook. Webhooks let external systems start a workflow too.
- **Actions:** what the workflow does once it starts. Send an SMS or email, add a tag, create a task, move an opportunity, notify a team member or ask for a review.
- **Logic:** wait steps, if/else branches and goals that decide who gets what and when.

Put together, a workflow replaces the sticky note that says "follow up with this lead tomorrow." It takes repetitive tasks off the team's plate, saves time and runs at 2 AM, on weekends and while your client is on a job site. The same builder powers marketing automation (nurture sequences, campaigns), sales automation (pipelines, follow-up) and operations (onboarding, reminders).

If you want the deep dive on the workflow builder itself, read our [HighLevel workflows guide](https://netpartners.marketing/gohighlevel-workflows/). ## Workflow 1: Speed-to-Lead

**The problem:** a new lead goes cold fast. In a Harvard Business Review audit of 2,241 U.S. companies, firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer. The average response time among companies that responded at all was 42 hours ([HBR, "The Short Life of Online Sales Leads"](https://hbr.org/2011/03/the-short-life-of-online-sales-leads)).

**The workflow:**

1. Trigger: Form Submitted (or a Facebook lead form, or a new contact from a funnel).
2. Action: send an instant SMS that uses the lead's first name and confirms what they asked for.
3. Action: send a welcome email with the next step, such as a booking link to the client's calendar.
4. Action: create a task and notify the owner or salesperson to call within five minutes.
5. Wait and if/else: if the lead hasn't replied or booked in a set time, send one more text. If they reply, the Customer Replied trigger can stop the sequence.

**Why it pays:** the system responds in seconds, a human still makes the call and leads who don't book yet roll into a longer lead nurturing sequence. We showed how much this matters for high-ticket leads in our [solar speed-to-lead breakdown](https://netpartners.marketing/solar-speed-to-lead-customer-acquisition-cost-highlevel/).

## Workflow 2: Missed-Call Text-Back

**The problem:** local businesses miss calls all day, and the caller usually phones the next company on the list.

**The workflow:** HighLevel has a built-in setting for this under **Settings > Phone System > Voice** (Voicemail & Missed Call Text Back), so the simplest version takes minutes to turn on. For more control, build it as a workflow with the Call Details trigger filtered to missed or unanswered calls, then:

1. Send an SMS like "Sorry we missed your call, how can we help?"
2. Notify the team and create a callback task.
3. If the caller replies, route the conversation to a person or to Conversation AI.

**Why it pays:** it turns a lost call into a text conversation. It's the workflow we lead with in our trades and clinic guides, like [garage door repair](https://netpartners.marketing/garage-door-repair-missed-calls-highlevel/) and [dental practices](https://netpartners.marketing/dental-missed-calls-highlevel-missed-call-text-back/).

One requirement: texting U.S. numbers from HighLevel requires A2P 10DLC registration. More on that below.

## Workflow 3: Appointment Reminders and No-Show Recovery

**The problem:** every no-show is an empty slot your client can't resell.

**The workflow:**

1. Trigger: Customer Booked Appointment.
2. Actions: a confirmation right away, then reminders by email and SMS before the appointment (for example 24 hours and 2 hours before).
3. Second workflow, trigger: Appointment Status set to no-show. Send a friendly "we missed you, want to rebook?" text with the booking link and create a task for the front desk.

**Why it pays:** fewer empty slots, and the no-shows that do happen get a second chance. See how a clinic would set it up in our [veterinary appointment reminders guide](https://netpartners.marketing/veterinary-appointment-reminders-highlevel-for-veterinary-clinics/).

## Workflow 4: Review Requests

**The problem:** happy customers rarely leave reviews unless someone asks at the right moment.

**The workflow:**

1. Trigger: an appointment marked as showed, a pipeline stage changed to "job complete" or an invoice paid.
2. Wait a few hours so the request arrives while the experience is fresh.
3. Action: HighLevel's [Review Request action](https://help.gohighlevel.com/support/solutions/articles/155000003291?fp%5Fref=details) sends the review link by SMS or email.
4. Optional: one reminder a few days later if no review comes in.

A warning: Google's review policies prohibit selectively asking only happy customers for reviews. Send the request to every customer and let the results be what they are. That keeps your client's Google Business Profile safe.

**Why it pays:** more recent reviews help local search visibility and conversion.

## Workflow 5: Database Reactivation (Re-engagement)

**The problem:** most clients sit on hundreds of old leads and past customers they never contact again.

**The workflow:**

1. Import or tag the old contacts (only people who gave consent to be contacted).
2. Trigger: Contact Tag added, for example "reactivation-q4".
3. Actions: a short, personal text with a reason to come back, such as a seasonal offer or a maintenance check.
4. If/else: anyone who replies moves into a pipeline stage and gets a task for follow-up. Anyone who opts out is removed.
5. Drip the batch over days instead of blasting everyone at once.

**Why it pays:** the leads are already paid for. Our [HVAC reactivation campaign](https://netpartners.marketing/hvac-service-agreements-reactivation-campaign-highlevel/) shows the full play with service agreements.

## How Do You Package These as a Snapshot for Every New Client?

Building five workflows once is work. Building them for every client is a waste. That's what snapshots solve.

- Build all five in a template sub-account with placeholder text, custom values and a sample pipeline and calendar.
- Save the sub-account as a snapshot. It carries the workflows, pipelines, calendars, forms, funnels and templates.
- Load the snapshot into each new client sub-account, then swap in the client's name, phone number, review link and offers. If you run HighLevel white-label, the client sees your brand on every screen.

Our [HighLevel snapshots guide](https://netpartners.marketing/gohighlevel-snapshots/) covers the details, and [automating client onboarding](https://netpartners.marketing/automating-client-onboarding-with-gohighlevel-scale-agencies-without-the-chaos/) shows how to wrap the rollout itself in a workflow. For a ready-made starting point, HighLevel publishes a [marketing agency playbook](https://www.gohighlevel.com/marketing-agency-playbook?fp%5Fref=details).

## Where Does the AI Employee Fit (Conversation AI, Voice AI)?

Workflows decide *when* something happens. The AI Employee handles the conversation once it does.

- **Conversation AI** replies to texts, chat and social messages, answers questions and can book appointments. It slots into the speed-to-lead and missed-call workflows when a lead writes back.
- **Voice AI** answers phone calls, so fewer calls go to voicemail in the first place.
- Workflows can still run around the AI: tagging, tasks, pipeline moves and reminders.

On HighLevel's [pricing page](https://www.gohighlevel.com/pricing?fp%5Fref=details), the AI Employee is an add-on with a Growth plan at $50 a month per sub-account and an Unlimited plan at $97 a month per sub-account, and usage-based charges apply. Check that page before you quote a client, since AI pricing changes often. Our [AI suite overview](https://netpartners.marketing/gohighlevel-ai-suite-six-ai-employees-one-subscription/) explains each AI employee in more detail.

## What Usually Breaks (SMS Registration, Email Deliverability)?

When an automation "doesn't work," the workflow is rarely the problem. The message just never arrives.

- **SMS registration:** business texts to U.S. numbers need A2P 10DLC registration, or carriers filter them. Tomorrow's post walks through registering once and avoiding the common rejections.
- **Email deliverability:** send from a dedicated sending domain with proper authentication, warm it up and keep lists clean. A reactivation blast to an old list from a cold domain is the fastest way to land in spam.
- **Logic mistakes:** missing goal or stop conditions in the follow-up, so a lead who already booked keeps getting "are you still interested?" texts. Test every workflow with your own contact before you publish it.
- **Re-entry settings:** decide whether a contact can enter a workflow more than once. The wrong setting means duplicates or silence.

## The Build Order We Recommend

| Order | Workflow | Main trigger | Time to build |
| ----- | ------------------------------------------ | ----------------------------------------------- | ----------------------------- |
| 1 | Missed-call text-back | Built-in setting or Call Details | Minutes |
| 2 | Speed-to-lead | Form Submitted | Under an hour |
| 3 | Appointment reminders and no-show recovery | Customer Booked Appointment, Appointment Status | About an hour |
| 4 | Review requests | Appointment Status or Pipeline Stage Changed | Under an hour |
| 5 | Database reactivation | Contact Tag | A few hours with list cleanup |

Build times are rough estimates for a first build. Once they're in a snapshot, rolling them out to a new client mostly means swapping in their details.

## Frequently Asked Questions

### What is GoHighLevel automation?

It's HighLevel's workflow builder, which lets you start a sequence of actions from a trigger such as a form submission, a booked appointment or a tag. Actions include texts, emails, tasks, pipeline moves and review requests, with waits and if/else logic in between.

### Which HighLevel workflows should an agency build first?

Start with missed-call text-back, speed-to-lead, appointment reminders with no-show recovery, review requests and database reactivation. They're simple to build and tie directly to booked jobs, so clients see results quickly.

### Do I need the AI Employee to automate in HighLevel?

No. Workflows are part of the core platform. The AI Employee is a paid add-on that handles conversations and calls on top of your workflows. HighLevel's pricing page lists it at $50 or $97 a month per sub-account, plus usage-based charges.

### Can I reuse the same workflows for every client?

Yes. Build them once in a template sub-account, save it as a snapshot and load the snapshot into each new client account. Then update the client-specific details like phone numbers, links and offers.

### Why are my HighLevel automation texts not being delivered?

The most common reason is missing or rejected A2P 10DLC registration for U.S. numbers. Carriers filter unregistered business texts. Check the registration status in the sub-account's phone settings before troubleshooting the workflow itself.

### How fast should a lead get a response?

As fast as possible. A Harvard Business Review study of 2,241 U.S. companies found that firms contacting leads within an hour were nearly seven times as likely to qualify them as firms that waited longer. An automated text in seconds plus a human call within minutes covers both sides.
