HighLevel Updates: New Features for July 28-Aug 1, 2025
The final week of July 2025 closed the month with releases across AI chat, contracts, advertising and the client-facing portal. Conversation AI can pull far more data out of a chat, Meta campaigns gained an ad set layer, and a long-standing PDF alignment bug was fixed. Here is what shipped between July 28 and August 1, 2025, and what it means for agencies and small businesses.
Conversation AI Captures More Data and Gains Permissions
AI chats can now extract and update as many as 20 contact fields in real time, standard and custom alike, with several written in a single exchange rather than one at a time. The same bot setup accepts up to five workflow actions, so one conversation can fire multiple downstream automations. Sales follow-up then starts from a complete record instead of a name and a phone number.
The form-based bot editor accepts custom values inserted at the cursor position, with validation that catches broken handlebars and enforces the existing 200 character limit.
Bot permissions became granular. Separate toggles govern who can view and manage bots, edit bot goals, view goals read only, and attach or detach knowledge bases under bot training. Disabling the top-level toggle hides the bot menu and blocks new bot creation, and turning off both goals and training also removes bot trial access. Three Fixes for Documents and Contracts
Fillable elements such as signatures, text inputs, checkboxes, dates and initials used to drift out of position in downloaded PDFs when they sat over content flowing across a page break. A new anchoring system ties each element to the content it overlays, so fields render where they were placed in the builder. This applies to documents and templates created on or after May 27, 2025. One edge case remains at the exact edge of a text block after a break.
Localization reached the parts still showing English. Product list headers such as item, quantity and price follow the platform language, public template input forms use it, and emailed document links carry the locale so recipients open the document in the right language.
Redirection from a document to an invoice, triggered by recurring products in the product list, dropped from roughly one to one and a half minutes to 10 to 20 seconds, with a progress modal during the wait. Fewer clients abandon a checkout that resolves that fast.
The Chat Widget Reaches the Client Portal
The chat widget can be embedded inside the client portal and its communities, courses and affiliates modules, with visibility toggled independently per child app. Only one widget per portal is supported for now, and an appointments and bookings integration is in progress.
It also handles dropped connections: a reconnecting banner appears when a visitor loses internet, the input is disabled so nothing is lost, and missed messages are fetched on reconnect.
Portal owners can now edit default email templates that were previously locked. Generating an editable copy, adjusting wording and previewing it with the custom fields it uses all happen inside email settings.
Ad Manager Adds a Real Campaign Hierarchy
Meta campaigns now follow the campaign, ad set, ad structure advertisers expect. One campaign holds up to 10 ad sets, each ad set holds up to 10 ads, and creating a campaign auto-generates one of each. Ellipsis menus add, duplicate or delete at both levels, a redesigned review screen steps through everything before publishing, and statistics report clicks, cost per click, conversions and spend at each level.
Budget, placements and targeting sit at the ad set level, creative and the call-to-action button at the ad level. For an agency that is the difference between one audience test per campaign and ten, with reporting granular enough to cut the losers quickly.
Social Publishing and a New Testimonial Element
Instagram reel uploads were the most common source of social support tickets, so audio and video bitrates are now optimized to meet Instagram technical requirements, and the maximum file size was updated to 300MB, down from 1GB, in line with recent API changes. That means far fewer rejected posts.
Thumbnails now appear at the top of the drawer, the preview popup shows which platforms support them, the modal is larger, and replacing media keeps its original position in the post sequence.
In the page builder, a testimonial element joined the quick add media section, with grid, stacked and slider layouts, adjustable columns, several card designs, custom fonts and colors, and optional profile photos, names, logos, dates and star ratings. Social proof on a landing page no longer needs an outside design tool.
Course, Community and Onboarding Tools
A new studio workspace gives community owners one place to manage digital products. A communities section lists everything created, with sales page previews, publish controls and settings; a courses section covers publish status and previews.
Assessment results export to CSV in one click. The export respects filters applied in the interface, is gated to authorized roles, and delivers sets over 500 rows as an emailed secure link valid for 24 hours. Course progress, revenue and member analytics are next.
Onboarding videos gained a picture-in-picture player, so a tutorial floats while the steps happen in the same tab, even in fullscreen. That removes the two-tab shuffle that stalls new users.
Phone, Payments and Developer Updates
Deskphones can answer IVR calls, which previously worked only for regular and ring all calls. Workflows send internal notifications over WhatsApp by choosing it in the notification type dropdown, as covered in our WhatsApp guide and on the official WhatsApp page. Agencies using Stripe multi-currency settlement now see every currency balance in agency settings rather than a single arbitrary one.
Media APIs accept a personal integration token as well as a JSON web token, provided it carries media read and media write scopes, and bulk delete, bulk update, create folder and update media object endpoints are now public. File links shared in conversations use a branded domain when one is configured.
